Admin Permissions in Projects and Tasks

ShareFile offers administrators a centralized view to manage all projects and tasks across your organization, ensuring business continuity, compliance readiness, and seamless governance.

The Project and Task Admin Group

  • Only available on premium and above plans.
  • Account owners automatically get access to all projects and tasks created within their organization.
  • Account owners can then invite other licensed users to this list who will also get manage access to all projects and tasks automatically.
  • Members are notified when they are added to the list.
  • Only users who can access the account settings page can view the Projects and Tasks admin list and perform actions.
  • Users added to this list can also manage the list — that is, they can add or remove users from it.

What Admin Group Members Can Do

Note:

Admin group members see an All Projects view (every project/task within the organization by default) in addition to the standard My Projects view (projects you own or collaborate on).

Notifications

Membership in the admin group does not subscribe you to notifications for every project. You only receive project or task notifications when you are explicitly added as a collaborator on that specific project or task.

Permissions

New Projects/Tasks created automatically grant the Project and Task Admin group administrative-level access — no manual configuration required per project.

Manage Members in Projects and Tasks

Add a Member

To add a new admin type member:

  1. From the ShareFile dashboard, navigate to Account Settings > Projects and Tasks.

    Note:

    Only Master admin and users with Admin type permissions can access this menu.

  2. From the Projects and Tasks management screen, select Add admins. The admin pane opens on the right.

  3. Search for the user name or email you want to add as an admin, then select Add.

  4. A success message confirms the member was added.

Remove a Member

To remove a member from the Projects and Tasks menu:

  1. From the ShareFile dashboard, navigate to Account Settings > Projects and Tasks.
  2. Select the member you want to remove.
  3. Select Delete. When prompted to confirm, select Delete again.
  4. A success message confirms the deletion.

Note:

If a user can access the account settings section but is not added to the list, the section displays as No data.
