Search

The search option is found in the top blue bar.

Search in Podio is contextual based on what you’re viewing when performing the search. We first show you a preview of our search results, then you can press Enter to see all available results.

Note: Press “S” on your keyboard to start a search without having the click the search icon.

You can search within the following:

  • Items: Title, text and number field values, comments, and tags.
  • Tasks: Title, description, and comments. Private tasks are searchable only by the creator and the currently responsible user.
  • Statuses: Body and comments.
  • Files: Name.
  • Conversations: Title and messages. Searchable only by the participants.
  • User Profiles: Name, title, skill, about, location, mail, phone, and Skype.

If you search within an App and don’t find what you’re looking for, click Search all workspaces. You get results from all your workspaces.

The following is a list of factors that contribute to how your search results are ordered:

  • Matching phrase: If the words you search for appear close together in the content, then it appears higher on the results page.
  • Following content: If you created an item, edited it, commented on it, then it appears higher in the list.
  • Word occurrence against norms: Matches against common words are less important than matches against rare words.
  • Matching title: If your search terms match the title of the content, the content appears higher than if it matched a comment.
  • Recently updated content: Content that has been recently created or interacted with appears higher on the list.
  • Top workspace content: Your top workspaces are the workspace you interact with the most. This list indicates that you’re more likely to search documents from those workspaces, so we give them a boost.
  • Task responsibility: Your tasks appear higher up than tasks for your colleagues.

The preceding bullets are positive influencers in that they move documents higher up the list. You can also move content you’re less likely to want to find down the list. If you’ve hidden the workspace or app from your home screen activity stream, the content isn’t interesting to you.

Search for workspaces & apps

Press “G” on your keyboard or click the workspace selector in the top-left corner of your blue menu bar. Start typing the name of an app or workspace. We now show you both results for apps and workspaces in this search. By pressing the + next to an app icon, you can quickly create an item in this app.
