MS Oauth implementation in Workflow Automation Email Settings

NOTE:

Microsoft is removing support for basic authentication using username and password for SMTP services by Apr 2026.

Podio Workflow Automation already supports SMTP server and Gmail Oauth in Email settings.

With these, users can integrate their email accounts in Podio Workflow Automation and emails from flows with their mail accounts.

Since Microsoft is adding more security to existing SMTP services with Oauth, it’s recommended to use Oauth2 for authorizing email accounts instead of using basic authorization and to use Graph REST API to access mail accounts.

Email Settings

  1. The new Microsoft sign-in option is available under Email Settings on the Account page.

  2. Upon signing in, the page redirects to Microsoft Oauth, where the user must sign in using their Microsoft, Outlook, or Office email account.

  3. The user must provide consent for the Podio Workflow Automation Client app to send emails on their behalf.

  4. After successful Oauth authorization, the user is redirected back to the Podio Workflow Automation Account page.

  5. A test email is sent to the primary email address of the Podio Workflow Automation account owner.

  6. The newly authorized Microsoft email address is displayed under Email Settings.

  7. Upon executing a flow with any Send Email action, the system uses the new email address authorized in Email Settings to send automated emails.
