Downgrade Employee to Client user

You may downgrade Employee users to client users.

Requirements

  • Employee level users must be equipped with the Allow this user to manage employee users permission.

Important Note:

All accounts enforce strict employee licensing, and by doing so, any employees with the same email domain as other employees will not be able to be downgraded to a client user.

Before Downgrading an Employee User

Be aware that an employee user may own distribution groups, sent messages, and folders on the account (folders they created or were assigned ownership) that you need to reassign. All employees own their Personal Folder.

Run and review a Storage Summary report to see the total number of files the employee owns.

Downgrade Employee to Client user

  1. Navigate to People > Manage Users.
  2. Browse or search for the employee user.
  3. Click the Manage icon located to the right of the user’s name and email address to access their user profile.
  4. In the Actions menu on the right side, select the option to Downgrade to Client.

    IMPORTANT:

    • There will not be an option to downgrade to a client if the user possesses the same email domain as other employee users on the account.
    • Downgrading an employee to a client removes their access to the File Box and Personal Folder sections of their account.
  5. Reassign the user’s files to another employee user on the account.
  6. Click Remove Employee.
  7. Following this change, the newly designated client user will retain the same folder access as before.

Notes:

  • Downgrading an employee user is permanent. Their employee license will become available immediately. An employee user that owned several items may take several moments for the reassignment operation to complete.

  • Once the folders are reassigned, the new owner can delete the folders from Shared Folders. Personal Folders are titled with the prior employee’s email address.
