Manage Permissions in Custom Workflows

The Custom Workflow feature is designed to give the workflow creator granular controls for every step of the workflow.

Custom Workflows is disabled for organizations by default. If an employee user does not see Custom Workflows option on the left navigation bar, the account owner should contact Support.

Workflow Permissions

Custom Workflows allows workflow creators to define a set of Triggers and Actions to automate the workflows. A workflow creator can add users as Workflow Admins and Viewers.

Form permissions

Workflow creator can add specific Employee and Client users as Form Submitters.

After the workflow is published, Form Submitters can go to ShareFile > Workflows > Forms to access the form template. These users can submit multiple forms using a form template. Each form submissions initiates a new workflow.

Approvals

Both Employee and Client users can be added as an Approver for a workflow. Users added as Approvers and Viewers will see the workflows appear in the Feedback and Approval dashboard.

Permission Details

The only difference between a ShareFile Employee User and a Client User is that an Employee can create Custom Workflows.
