When to Use Comments

Overview

ShareFile now enables you to use Comments within Projects to communicate project update, outline deliverables etc. Comments allow project participants — both internal and client users — to discuss progress, share updates, or clarify details without leaving the project workspace.

Comments can be added directly to any resource (Document Request, Task or Project level). This ensures that all discussions stay tied to the specific item or space they relate to.

Key Use Cases

  • Providing context or clarification on a shared document or request.
  • Tracking discussions or approvals directly within a task or document request.
  • Notifying teammates of updates or required actions.
  • Maintaining a visible communication trail for all project-related exchanges.

How Comments work within a Project

  1. Comments can be added on multiple elements within a project, including:

    • Project level
    • Document request level
    • Information request level
    • Task level
  2. Each comment thread is specific to its associated item — keeping discussions contextually relevant.

  3. To add a comment:

    a. Open the relevant resource (for example, a Document Request or Tasks).

    b. Navigate to the Comments section.

    c. Type your message and click Post.

  4. Comments appear immediately in chronological order with:

    • Author name
    • Timestamp
  5. Comments are visible only to users who have access to the corresponding item.

Access Control

Project Owners & Collaborators

  • Can add, edit, or delete their own comments.
  • Can view all comments within items they have access to.

Clients

  • Can view or reply to comments only on items assigned to them (e.g., specific requests or tasks).
  • Cannot see comments on internal-only items i.e project comments.

Visibility

Comment visibility automatically follows project and item-level permissions — no separate setup required.
