  • Employee users with the Manage Employee permission can identify users who haven’t verified their email within 30 days by navigating to People > Browse Employees and filtering by Locked out employees. These users will have a Locked out label next to their email address.

Auto confirming ShareFile Employee users

When a new employee user is added to ShareFile, they traditionally need to go through an activation flow on their first login.

However, if you expect your employees to log into ShareFile with Active Directory credentials, via a configured SAML 2.0 identity provider, and not via ShareFile credentials, then there is a way to skip this confirmation flow.

If any of the following is true on a ShareFile account where SAML is enabled on the account AND properly configured, then ShareFile will auto-confirm the user upon user creation:

  • If Require SSO Login is set to ‘yes’ under Admin Settings – Security – Login & Security Policy – SAML Optional Settings AND the employee does not have any admin permissions.

  • The login page for your ShareFile account is set to auto- redirect to your SAML login page, then all employees will be auto confirmed.

In the case where the employee is auto confirmed, then they also will not receive a welcome email if created directly via the API or User Management Tool. It is expected that the administrator either sends their own welcome email, or does a bulk welcome email resend from within the ShareFile Web Application. If the user was created from within the ShareFile Web Application, you can still choose to send a welcome email, though the activation link in the email will take the user directly to https://[subdomain].sharefile.com/.eu and they will be able to log in with their Active Directory credentials immediately.
