Project Files

The Files section in a Project is where all project-related documents are stored, shared, and accessed by internal users and clients. It provides a centralized, secure workspace for managing every file connected to your project - including uploads, signed documents, and attachments from requests or tasks.

NOTE:

Project files use project-level permissions. For general ShareFile file sharing (outside projects), refer to Share files using the ShareFile web-app.

  • To upload reference documents, templates, or deliverables for the project.
  • To view or download documents shared by other team members or clients.
  • To access automatically returned signed files from Signature Requests.
  • To keep all related materials within the same project for easy tracking.

When to use file sharing

Use file sharing when you need to

  • Provide access to project deliverables or supporting materials.
  • Share client submissions with internal reviewers.
  • Distribute approved or signed documents.
  • Collaborate on working drafts that require feedback or review.

Understanding files in a project

  • Every project includes a Files section that serves as the central file repository.

  • Files can be added by uploading directly or through linked project actions (requests, tasks, or signatures).

  • Any document uploaded, attached, or returned from a completed request automatically appears here.

  • Files are organized in a list view with details such as:

    • File name
    • Uploaded by
    • Date added
    • Version (if applicable)
  • Users can:

    • Upload: Add new files directly into the project.
    • Preview: Open supported file types without downloading.
    • Rename, Move, Copy,Share or Delete: Manage files using quick actions.
  • Uploaded or system-generated files (e.g., signed contracts) are accessible to all authorized project participants.

Additional capability

Version management

Upload new versions of existing files while retaining version history.

Attachments from other activities

Files uploaded or generated through Document, Information, or Signature Requests automatically appear in the Files section.

File preview

View common formats (PDF, images, docs, spreadsheets) without downloading.

File organization

  • Create folders and subfolders for structured storage.
  • Move or copy files between Projects or folders as needed. Moving of files require admin level permissions at both levels i.e source and destination
  • Sort by name or date for quick navigation.

Limitations

  • Maximum upload size is 10 GB per file.
  • Real-time co-authoring or simultaneous editing is not supported for PDF format.
  • Folder-specific notification configuration are not yet available.
  • Preview is limited to supported file formats.
  • Clients can view all files part of the project or can only view files shared with them incase they have limited access
