Outlook Online Email Recipients

Configuring Email Recipients(This section is common for all pages)

ShareFile now enables recipients to authenticate before they can access content on Outlook. For new users who do not have a ShareFile account, an activation link will be provided where they have to create a new ShareFile account in order to access sensitive content.

  1. To configure email recipients for sign in, go to the ShareFile settings menu from the New Email window as shown below:

  2. From the ShareFile settings menu, go to the Attach settings menu. From the Access options window that opens, go to the Who can access this link section and change the dropdown option to Email recipients (sign-in required) as shown below:

  3. Repeat the above process for Request settings and Encryption settings.

Sending encrypted emails to Email Recipients (Sign-In Required)

  1. To send encrypted emails to email recipients, follow the Steps 1-5 in the above section and log in to ShareFile.

  2. Once you have signed in to ShareFile, the Encrypt Email menu will open. If no body text is drafted in the email and no email recipients are added to the email, the Encrypt Email button is disabled by default as shown below:

  3. Insert the email body and add the recipients; then the Encrypt Email button is enabled. Click on the Encrypt Email button. The mail will be encrypted and will require all new users to sign-in to access the mail. If any of the email recipients do not have a ShareFile account, then an activation link for creating an account has to be sent to the new users and the Adding new users window opens as shown below.

  4. Click on the Confirm button and the encryption process will begin. Once complete, the encrypted email is displayed.

  5. You can also use the Preview message button to preview the encrypted email body or use the Decrypt and edit button to go back and edit the body of the mail. This is similar to the Steps 9 and 10 of the previous section above.

  6. You can also add email recipients once the mail has been encrypted. Simply add a new email recipient and click on the Sync users button in the ShareFile pane as shown below:

Sending files to Email Recipients (Sign-In Required)

  1. You need to first add the recipients in the mail before attaching files. To attach files to emails for sending to email recipients, follow the Steps 1-4 in the above section and log in to ShareFile.

  2. Once you have signed in to ShareFile, the Attach Files menu will open.

  3. You can choose to attach files using the Add from my device or Add from ShareFile as shown in the previous section.

  4. If there are no recipients to the mail, then the No recipients to provide access message is displayed and the Attach button is disabled by default as shown below:

  5. You can add the email recipients and click on the Sync users button. This will enable the Attach button as shown below:

  6. Click on the Attach button to create the ShareFile attachment link in the email. This will require all recipients to sign-in to view the attachments. If there are any users who do not have a ShareFile account, then an activation link will be sent to them and the Adding new users screen will open as shown below. Click on the Confirm button and the file will be attached.

  7. You can also add new recipients after creating the attachment by clicking on the Sync users button as shown in Step 5.

  8. If there are too many email recipients in the mail, they will be displayed as shown above in the ShareFile pane. You can click on the +’n’emails option (where ‘n’ denotes the number of more email recipients to be viewed) to view all the email recipients as shown below:

Sending Converted Attachments to Email Recipients (Sign-In Required)

  1. You need to first add the recipients in the mail and attach a file to the mail before converting attachments in Outlook.To attach files to emails for sending to email recipients, follow the Steps 1-5 in the above section. The Attach files menu will open with the attachment already converted by ShareFile.

  2. If there are no attachments in the email, then clicking on the Convert attachments button in the ShareFile menu will trigger a No attachment warning message as shown below:

  3. If there are no recipients to the mail, then the No recipients to provide access message is displayed and the Attach button is disabled by default as shown below:

  4. You can add the email recipients and click on the Sync users button. This will enable the Attach button as shown below:

Request Files from Email Recipients (Sign-In Required)

  1. To request files from email recipients using ShareFile in Outlook Online, follow the Steps 1-3 in the above section and log in to ShareFile.

  2. From the ShareFile menu, select the Request Files option.

  3. The Request Files menu opens on the right pane. If no email recipients are added, then the No recipients to provide access warning message is displayed and the Insert link button is disabled by default.

  4. You can add recipients to the mail and click on the Sync users button to sync the users with ShareFile. This will enable the Insert link button. Select the Insert link button to continue.

  5. If any users do not have a ShareFile account, then a new user activation link is created and the Adding new users window is displayed. You can click on Confirm to continue.

  6. The link for requesting files is inserted in the mail as shown below:

Note:

The default upload location is set to File Box. You can change the location by clicking on the Edit option as shown below:
